Close every HVAC and boiler visit with a signed PDF report
The technician starts the job on arrival, takes photos and collects the customer's signature. The office sees the status and the PDF report is ready.
What a job looks like
The job below is an example of how a job in this sector would look in Ekiplio. It is not a real customer or entry.
Annual boiler service
The boiler is serviced at the customer's home. Afterwards the unit is started and checked, and the customer confirms the handover with a signature.
Checklist
- Photograph the unit before the service
- Tick off the cleaning and service steps
- Start the unit and check it
- Photograph the unit after the service
- Collect the customer's signature
Suggested job type setting for this job
A job type decides which proof a job asks for in the field. A reasonable starting setting for this job:
Why this setting. A service job is finished on site by one person. The location stamp records arrival and the signature confirms the handover. Two photos are required; taking them before and after the service is the team's routine. There is no approval step: the job completes directly and the PDF report is emailed to the customer.
- Require a location stamp when starting and finishing
- OnOne-time location when starting and finishing the job
- Minimum proof photos
- 2 photosProof photos needed to finish the job
- Require a customer signature

- Email the report to the customer when completed

These are examples; each business defines its own job types. A manager can change job types at any time; open jobs carry on with the setting they were created with.
What appears in the PDF report
The document you leave with the customer
When a service or repair job closes, the PDF report is ready. Start and finish times, photos and the customer's signature sit in one document.
- Start and finish stamps show when the technician arrived and when the job ended
- The photo grid gathers the photos that were taken
- The signature block carries the customer's first and last name
The PDF report is generated in the app when the job finishes; what changes from sector to sector is the job type settings.

How the team works
The job is assigned
A manager or team lead creates the job and enters the assignee and due date. The assignee is notified.
Proof is collected on site
The assignee starts the job, takes photos, collects a signature if required and finishes the job. Location is taken only at these moments, once each time.
The PDF report is ready
When the job completes, a PDF report is generated. A manager follows the team's work on the reports screen.
Frequently asked questions
How do I collect the customer's signature?
The technician hands over the phone or tablet and the customer signs on the screen with a finger. A first and last name are required with the signature; a job title is optional. The signature is saved with a time and location stamp.
What if there is no internet at the customer's home?
Start, finish, photo and signature actions are queued and sent in order once a connection returns. Every entry keeps both the device time and the server time.
Is the technician's location tracked all the time?
No. Location is taken only when starting a job, finishing it, taking a proof photo or collecting a signature, with a permission granted while the app is open, and only once each time. There is no background location tracking. If permission is not granted the job still starts; the stamp is marked as having no location and the manager can see this.
Is the PDF report sent to the customer automatically?
Emailing the PDF report to the customer is a job type setting. When it is on, the PDF report is sent once the job is completed, provided the customer entry has an email address. When it is off, you share or download the PDF from the app.
Can I define separate job types for air conditioners and boilers?
Yes. Managers define job types and can change them at any time; for example, you can use different settings for air conditioner service and boiler repair. The setting on this page is a suggestion.
