Show which area was cleaned and when, with photos and stamps
The cleaning crew starts the job on arrival, ticks off the checklist and takes photos. The team lead reviews and approves; the PDF report for the customer is ready.
What a job looks like
The job below is an example of how a job in this sector would look in Ekiplio. It is not a real customer or entry.
Office floor cleaning
A shift clean is done on the customer's office floor. Areas are ticked off, photos are taken after cleaning, and the team lead reviews and approves.
Checklist
- Photograph the area before cleaning
- Tick off the work areas and meeting rooms
- Tick off the kitchen and common area
- Tick off the restrooms
- Photograph the area after cleaning

What appears in the PDF report
A PDF report you can show the customer
The PDF report keeps the start and finish times of the job and the photos taken in one document. When someone asks when an area was cleaned, the answer is in the job.
- Start and finish stamps show the time of the shift
- A job number and date-time watermark is stamped onto each photo on the device; location is added if permission was granted
- The photo grid gathers the cleaned areas on one page
The PDF report is generated in the app when the job finishes; what changes from sector to sector is the job type settings.

How the team works
The job is assigned
A manager or team lead creates the job and enters the assignee and due date. The assignee is notified.
Proof is collected on site
The assignee starts the job, takes photos, collects a signature if required and finishes the job. Location is taken only at these moments, once each time.
The PDF report is ready
When the job completes, a PDF report is generated. A manager follows the team's work on the reports screen.
Frequently asked questions
Is a signature required?
No. A signature is a job type setting: leave it off for jobs that finish without one, and turn it on for the jobs where you want it.
Can photos be uploaded from the gallery?
Proof photos are taken only with the camera; an old photo cannot be added from the gallery. That way it is clear the photo was taken at that moment. For ordinary file attachments the gallery is allowed.
Should I open a separate job for every area?
That is up to you. You can open a separate job for each area, or use the checklist inside a single job.
Is staff location tracked all the time?
No. Location is taken only when starting a job, finishing it, taking a photo or collecting a signature, with a permission granted while the app is open, and only once each time. There is no background location tracking.
Does the customer need an Ekiplio account?
No. A customer is an entry, not a user. They receive the PDF report; if emailing is on and the customer entry has an email address, it reaches them directly.
