Keep every elevator maintenance visit on record with photos and stamps
The technician starts the job on arrival, ticks off the checklist, takes photos and collects the signature. Every visit stays in the job's own entry.
What a job looks like
The job below is an example of how a job in this sector would look in Ekiplio. It is not a real customer or entry.
Maintenance visit
A maintenance visit is made to the elevator in a building. The checks are ticked off, the building representative takes over with a signature, and the entry goes to approval.
Checklist
- Photograph the machine room
- Tick off the check steps and write any defect you notice as a comment
- Photograph the inside of the car
- Photograph the landing door
- Collect the building representative's signature
Suggested job type setting for this job
A job type decides which proof a job asks for in the field. A reasonable starting setting for this job:
Why this setting. A maintenance visit is a record the office should see too. Three photos and a signature are required to finish the job; the job moves to awaiting approval and a manager or team lead reviews the entry and approves it. Automatic email is off, so you share the PDF report yourself.

What appears in the PDF report
Your maintenance PDF report
The PDF report of each visit keeps start and finish times, the photos taken and the signature together.
- Start and finish stamps show the time of the visit
- A job number and date-time watermark is stamped onto photos on the device
- The timeline lists the actions in the job in order
The PDF report is generated in the app when the job finishes; what changes from sector to sector is the job type settings.

How the team works
The job is assigned
A manager or team lead creates the job and enters the assignee and due date. The assignee is notified.
Proof is collected on site
The assignee starts the job, takes photos, collects a signature if required and finishes the job. Location is taken only at these moments, once each time.
The PDF report is ready
When the job completes, a PDF report is generated. A manager follows the team's work on the reports screen.
Frequently asked questions
Does Ekiplio meet my legal obligations?
No. Ekiplio does not issue any legal qualification or conformity document. It is a job tracking and record tool: it helps you keep maintenance visits in the job's own entry with stamps, photos and signatures. You or your advisor determine your responsibilities.
Is a separate job opened for each maintenance visit?
Yes, each visit is a separate job. You enter a title, customer and address, an assignee and a due date; the job also has a checklist.
What if there is no internet in the machine room or basement?
Start, finish, photo and signature actions are queued and sent in order once a connection returns. Every entry keeps both the device time and the server time.
Is the technician's location tracked?
Location is taken only when starting a job, finishing it, taking a photo or collecting a signature, with a permission granted while the app is open, and only once each time. There is no background location tracking.
Who approves a maintenance visit?
When approval is on for the job type, the job moves to awaiting approval once the technician finishes it. A manager or the lead of the team approves, or rejects with a written reason. A lead cannot approve a job they are assigned to; a manager approves it.
