Keep site jobs on record with photos, and let the office see their status

The site crew starts a job, photographs the progress and finishes it. In the office, a manager sees the stage of every job on the kanban board and decides on jobs awaiting approval.

What a job looks like

The job below is an example of how a job in this sector would look in Ekiplio. It is not a real customer or entry.

Example

Block wall job handover

The block wall work on one floor of a site is completed. The progress is photographed, and a team lead or manager reviews and approves.

What appears in the PDF report

A progress PDF report

The PDF report of a completed job keeps photos and stamps together. The office sees what was done on site from the job's own entry.

  • A job number and date-time watermark is stamped onto photos on the device; location is added if permission was granted
  • Start and finish stamps show when the job was done
  • The PDF report is shared or downloaded from the app and is readable on paper

The PDF report is generated in the app when the job finishes; what changes from sector to sector is the job type settings.

  • First page of a completed job's PDF report
  • Second page of a completed job's PDF report

How the team works

  1. The job is assigned

A manager or team lead creates the job and enters the assignee and due date. The assignee is notified.

  2. Proof is collected on site

The assignee starts the job, takes photos, collects a signature if required and finishes the job. Location is taken only at these moments, once each time.

  3. The PDF report is ready

When the job completes, a PDF report is generated. A manager follows the team's work on the reports screen.

Roles and permissions

Frequently asked questions

What if the connection is weak on site?

Start, finish, photo and signature actions are queued and sent in order once a connection returns. Every entry keeps both the device time and the server time.

Who does the approval step?

When approval is on for the job type, the job moves to awaiting approval. A manager or the lead of the team approves. A lead cannot approve a job they are assigned to; a manager approves it.

What happens to a rejected job?

The reviewer rejects it with a written reason. The job goes back to in progress and the assignee fixes it and submits it again.

How does the office see the situation on site?

Jobs sit in to do, in progress, awaiting approval and done columns on a kanban board per team. The web panel also has a list and a reports screen.

Is the crew's location tracked?

No. Location is taken only when starting a job, finishing it, taking a photo or collecting a signature, with a permission granted while the app is open, and only once each time. There is no background location tracking.
